Signet: email signatures, managed centrally

Cylon product, in use with Cylon and two clientsIn production

Every Outlook email gets the right signature for the sender and brand, built from directory data, without touching mail flow.

The challenge

Hand-maintained signatures drift across people, devices and Outlook versions. Businesses with more than one brand need the signature to follow the sender, and IT doesn't want to reroute mail to get it.

What we built

  • An Outlook add-in that adds the signature to new emails, replies and forwards, and switches brand when the sender changes
  • Works in classic Outlook, the new Outlook, Outlook on the web and Android
  • Signatures built from Microsoft 365 directory data, synced hourly; leavers are removed automatically
  • Per-brand templates, with scheduled versions such as a campaign banner that swaps out on a set date
  • An admin portal behind Microsoft sign-in with previews, a data-quality report and an audit log

How it works

Outlook loads a small add-in that asks the Signature API for the sender's signature. The API answers from synced directory data and the brand's template, held at the edge on Cloudflare. Mail never passes through Signet, and no transport rules change.

  1. Microsoft 365 directory
  2. Hourly sync
  3. Signature API
  4. Outlook add-in
  5. Signature in the email

By the numbers

  • Signature inserted in 0.2 to 0.8 seconds in Outlook on the web, the new Outlook and Android, and 0.8 to 1.6 seconds in classic Outlook
  • A full branded signature with six images comes to 36 KB
  • 71 automated tests
